Position Overview
The Congregate Nutrition Program (CNP) Coordinator plays a vital role in implementing and managing the Rhode Island Office of Healthy Aging's congregate nutrition program. This position is responsible for coordinating meal site operations across multiple locations, managing participant data, training and supervising volunteers and staff, ensuring regulatory compliance, and advancing our nutrition and health education mission. The CNP Coordinator reports to the Director of Volunteer Services and works collaboratively across departments to ensure program excellence and participant satisfaction.
Core Responsibilities
Data Management & Enrollment
- Manage all participant enrollment information and personal information forms (PIFs), ensuring timely and accurate data entry into SAMS/Wellsky
- Maintain confidentiality and follow agency protocols for all personal and health information
- Participate in bi-weekly supervision and attend all required staff meetings and Family Development team meetings
- Build professional relationships with participants and stakeholders while maintaining appropriate boundaries
Reporting & Administrative Coordination
- Complete and submit all RI Office of Healthy Aging reports and invoices on schedule
- Communicate daily with meal sites to gather meal choice data and submit change forms to caterer within required timeframes
- Process supply orders and submit to supervisor for approval before entering into Sage
- Document weekly bank deposits and forward to Finance; collect and organize Monthly Nutrition Reports, deposit slips, Records of Donation, and monthly Rosters
- Manage administrative documentation to ensure compliance with grant mandates and organizational standards
Training, Monitoring & Program Implementation
- Provide comprehensive training to site directors and volunteers on meal site documentation, policies, procedures, food safety standards, and RI OHA/EBCAP requirements
- Conduct regular food safety training for all meal site volunteers
- Oversee inventory management and donation practices at each meal site
- Conduct site visits to every meal site to monitor donations, bank deposits, documentation, and ensure compliance
- Deposit daily monies as needed and maintain accurate donation records
- Distribute and analyze client satisfaction surveys semi-annually
- Conduct quarterly project council meetings and provide feedback to leadership
- Collaborate with the caterer to ensure meals are efficient, healthy, safe, and culturally appropriate
- Implement and oversee restaurant components of the meal program
- Complete health education workshops training
- Provide SNAP training and direct assistance to clients across all meal sites
Required Qualifications
- High School Diploma or GED equivalent or degree related to nutrition
- Demonstrated ability to handle confidential information in a professional and ethical manner
- Strong written and verbal communication skills
- Proficiency with data entry and computer systems
- Excellent organizational and time management skills
- Ability to work collaboratively in a team environment
- Knowledge of agency personnel policies and state/community resources
- Attain RI Serve Safe food safety manager certification
Preferred Qualifications
- Experience working in human services, community health, or nutrition programs
- Familiarity with meal program operations or congregate dining services
- Experience training and supervising volunteers
- Knowledge of SNAP benefits or nutrition assistance programs
Physical Requirements
This is a highly physically active position requiring:
- Ability to stand, walk, bend, kneel, stoop, crouch, crawl, and climb regularly
- Capacity to lift at least 25 pounds using proper lifting techniques or two-person lift assistance
- Ability to navigate multiple sites and maneuver through various spaces
- Capability to sit, reach, file, and move around facilities as needed
- Ability to remain stationary approximately 50% of the time
- Proficiency operating computers and office equipment (calculator, copier, printer)
- Strong communication skills including speaking, hearing, and clear communication with diverse clients and staff
- Vision requirements: close and distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus
Compensation & Benefits
Salary Range: Competitive, based on experience
